What a hybrid event needs

A hybrid event is two shows at once: one for the people in the room, and one for the people watching from somewhere else. Each needs its own sound, its own picture and its own way of taking part. Done well, the online audience sees a programme, not a camera pointed at a stage — and the room is not held up by the stream.

The rig

  • Cameras — several, on the stage, the lectern and the audience, cut together live on a video switcher.
  • Encoding — a main encoder carrying the stream, with a backup encoder running alongside it so a failure does not end the broadcast.
  • Audio — a digital mixing console balancing the room and the stream separately, with wireless microphones for every speaker.
  • Remote presenters — one laptop for each remote speaker, so every one arrives on their own feed and can be brought up on the big screen and the stream at the same time.
  • Lighting for camera — broadcast lights on truss, because a face that looks fine in the room can look flat on a stream.
  • Participation — questions submitted online, collected per session and put to the speakers alongside questions from the floor.

How it runs

  1. Planning call with a production manager, and a shared folder for everything that follows.
  2. Content — slides, videos, fonts and branding — uploaded ahead of time and reviewed by the production manager.
  3. Scripts and design elements for openers, lower thirds and transitions.
  4. Rehearsal with every remote presenter, testing their audio and video before the day.
  5. Show day, run by a dedicated director and technical producer.
  6. Recording delivered afterwards. We record in 4K and stream to the platform your audience already uses.

Hybrid events we have produced

  • UHN's Third Annual Toronto Lung Oncology Research Day, 12 November 2021 at Vantage Venues: a small, distanced audience in the room, seven sessions, presenters joining remotely, and an online question page for each session.
  • A virtual studio built at Vantage Venues in autumn 2020, when most events had moved online: a talk-show set with its own control room, wired for Zoom Meetings and Zoom Webinar.

Hybrid Events questions

Which streaming platforms do you work with?
Any suitable platform of your choice. Our studio builds have been wired for Zoom Meetings and Zoom Webinar, and we can stream to the platform your audience already uses.
Can speakers present remotely?
Yes. Each remote presenter comes in on their own feed, and we rehearse with every one of them beforehand to test their audio and video.
What happens if the stream fails?
A backup encoder runs alongside the main one, so the broadcast can carry on if the main encoder fails.
Can people watching online ask questions?
Yes. Questions can be submitted online, collected per session and put to the speakers alongside questions from the room.
Do we get a recording?
Yes. We record in 4K and deliver the recording after the event.
